How to Book a Food Truck for Your Event, Step by Step

How to Book a Food Truck for Your Event, Step by Step

Most people who want to book a food truck have never done it before. That's normal. You don't plan a wedding or a company party every month. The good news is the process is short, and if you send the right details the first time, you can have a real quote back in about a day.

Here's how booking works at The Lime Truck, step by step, plus the stuff that tends to slow people down.

Step 1: Pick your date and check availability early

Start here, because nothing else matters if the date is gone. We book first come, first served, and the first deposit we receive for a date is the one we honor.

How early is early enough? From our FAQ:

  • Most events: two to four weeks out is usually enough.
  • Weddings and large corporate events: two to three months ahead is common.
  • Spring and fall weekends: these fill up fastest, so lean early.

Since it's late October, one more note. December holiday party dates are going quickly right now. If you're planning a company party or a family celebration in December, reach out now instead of after Thanksgiving.

Short on time? Ask anyway. For events booked the same week, we offer a limited menu built from our most popular items, and we don't charge a last-minute premium.

Step 2: Get a rough guest count

You don't need a final number to start. A range is fine, like "80 to 100." What matters is being in the right ballpark, because guest count drives most of the plan:

  • How long the service window should be
  • Whether one truck can keep the line moving or you need a second service point
  • Which package makes sense

We regularly cater events from about 50 guests to 500 or more, and we can bring multiple trucks for festivals and big public events. If your event is smaller than 50, still reach out. Smaller parties work, the per-guest cost is just higher because the truck and crew cost about the same to send either way. Our post on private party catering cost explains that math in plain English.

Step 3: Send these details

This is the step that makes or breaks how fast your quote comes back. Fill out our catering request form with:

  1. Date and time window. When should food start, and how long do you want us serving?
  2. Venue address. The full address, plus anything odd about access. Gated driveway, hillside, parking garage, studio lot, office park with a height limit.
  3. Estimated guest count. A range is fine.
  4. Event type. Wedding, corporate lunch, birthday, festival, film shoot.
  5. Dietary needs. Roughly how many vegan, vegetarian, or gluten-free guests.
  6. Menu ideas. A package you like, a few must-have items, or just a budget and we'll build to it.

If you'd rather email, info@thelimetruck.com works too. Or call Ethan at (949) 232-0690.

Step 4: Check the space for the truck

This is the one people forget. The truck needs a flat, level area about 30 feet long by 12 feet wide, with around 14 feet of overhead clearance so the service window can open all the way. We'll need a standard outlet, or we can run a quiet generator.

Not sure your venue works? Send photos or a quick description. We've served in parking garages, private driveways, and event lawns of every shape. If the truck can't fit at all, we can sometimes set up a serving station inside while the truck parks nearby. In Orange County, drop-off catering is another option.

Step 5: Review your proposal

Our team reviews your request and puts together a custom proposal with the menu, logistics, and pricing. We don't publish one-size-fits-all rates, because a 75-person backyard party and a 300-person festival are completely different jobs. Price comes down to guest count, menu, location, and how long we're on site.

Minimums vary by day of the week, season, and location. Weekday lunches and off-peak months tend to be more flexible than Saturday weddings and holiday weekends.

Step 6: Lock the date with a deposit

To secure your date, we take a 50% non-refundable deposit by check or major credit card. Cancellations forfeit that deposit, so make sure the date is solid before you send it.

Once you're confirmed, we handle the rest: menu planning, logistics, setup, service, and cleanup. Plates, utensils, napkins, and serving supplies are included with our packages.

What happens on the day

We pull up, set up, and start cooking to order, so the last guest in line gets food as fresh as the first. Our crew keeps the line moving and cleans up when we're done. You get to actually be at your own event.

Common booking mistakes

  • Waiting until the guest list is final. By then the date may be gone. Book with a range and adjust later.
  • Not mentioning access problems. A low tree, a steep driveway, or an HOA rule is easy to plan around ahead of time and hard to fix the morning of.
  • Forgetting the dietary count. We build vegan, vegetarian, and gluten-free options into every menu, but we stock better when we know the numbers.
  • Booking the wrong service window. A 30-minute lunch rush and a two-hour reception are different plans. Tell us how the day flows.

FAQ

Our full food truck catering FAQ covers more, but here are the questions we get most during booking.

How far in advance should I book a food truck?

Two to four weeks is enough for most events. Weddings and large corporate events often book two to three months out. Spring and fall weekends and December holiday dates fill fastest.

What do I need to confirm my booking?

A 50% non-refundable deposit, paid by check or major credit card. The first deposit received for a date holds it.

How quickly will I hear back?

Our catering team usually replies within 24 hours of your request.

Can I book a food truck for a small party?

Yes. Smaller events just have a higher cost per guest, since the truck, crew, and setup cost about the same whether we serve 30 people or 60.

Do you charge extra for last-minute bookings?

No. For same-week events we offer a limited menu of our most popular items, with no last-minute premium.
